Sports Travel, Inc – Terms and Conditions
Following is a list of the terms and conditions of this Reservation Agreement (sometimes referred to as “Agreement”).
Please read carefully.
SUPPLIERS
Sports Travel, Inc., the tour producer, and/or their agents in making arrangements for the transportation, accommodations and other services provided by third parties (“Supplier” or “Suppliers”) referred to herein, act only as Agent. Sports Travel, Inc. is not responsible for acts or omissions of the Suppliers or their failure to provide services or adhere to their own schedules.
DEPOSITS AND FINAL PAYMENTS ARE NOT REFUNDABLE
Deposits made to Suppliers, at specific times are for specific space. These are not refundable unless otherwise specified on the face of your reservation agreement. If the number of people for your trip is reduced, the deposit for these people cannot be applied to the final payment and cannot be refunded. Since deposits are not refundable, it is a good idea to keep a waiting list to fill the places of any drop-outs. We highly recommend the purchase of Travel Insurance.
ALL FINAL PAYMENTS ARE NON-REFUNDABLE.
PAYMENTS
Payments may be made by either a company check in U.S. funds drawn on a U.S. bank account or by wire transfer, net of any wire transfer fees. All payments should be sent to the address specified by Sports Travel, Inc. A 3% administrative fee will be added to all credit card payments. Failure to make payments as specified herein will result in cancellation and release of the reservation.
ALL DEPOSITS AND/OR PAYMENTS PAID CONSTITUTE, ACCEPTANCE OF THESE TERMS IN LIEU OF A SIGNATURE ON YOUR RESERVATION AGREEMENT.
Travel arrangements are subject to supplemental price increases that may be imposed by the Supplier and/or government after you have completed your purchase. You hereby consent to any such price increases and authorize your credit or debit card to be used for them. Suppliers have their own contracts covering cancellation penalties and other terms and conditions, and that you may be bound by those contracts regardless of whether you receive notice of their terms. All or part of such terms and conditions may be listed above in this Agreement under the heading “Supplier Policies”. By signing below, you are consenting to those terms and conditions.
If Sports Travel, Inc. is the merchant on your credit card transaction, you agree to the following: Sports Travel, Inc’s services consist of facilitating the sale and paying the Suppliers, and once Sports Travel, Inc. makes such payment(s) provides said services, you agree not to dispute the credit card charge. If a Supplier does not provide the service or ceases operations, your only recourse will be against the Supplier.
TRIP POLICIES
Your trip has been priced for a specific number of persons. In the event this number should change there may be an increase in each package, unless otherwise specified in the contract.
Lodging rates are based on maximum occupancy per unit unless otherwise specified. Fewer than maximum persons per unit will require additional charges for empty spaces.
Bus and shuttle transportation is quoted as a total cost to the group. The group is responsible to pay for the full cost of the transportation, even if it is not filled to capacity. If the group is quoted a per person bus or shuttle cost, the group will be provided an empty space cost for each seat not filled to capacity. Group is responsible for all fuel surcharges prior to departure and all parking and toll fees incurred while in service.
Airfares are subject to a percentage of utilization of the total number of seats reserved. This percentage determines the minimum number of seats which must be paid-in-full to avoid penalty. If the total number of people flying drops below the determined number, a penalty will be accessed on the shortage. The amount of the penalties increases as time draws closer to travel dates; therefore, extra seats should be canceled as soon as possible.
Transportation rates are not guaranteed until paid-in-full and ticketed; additional fuel and/or airport surcharges and changes in tax rates may be imposed on your tickets at any time by airlines, airports or Government. It is the responsibility of the group to pay any additional taxes imposed on your flights.
Your package price has been determined using current tax rates. Sports Travel cannot be responsible for tax rate increases. Should there be a tax increase on lodging, or any other portion of your package between the time of booking and the trip date, the new rate will apply and could increase your package price.
In order for Sports Travel, Inc. to prepare for your group with maximum efficiency, it will be necessary for all air lists, rooming lists and other pertinent information to be completed and received by the time specified. Expect this date to be 45 or more days in advance of your trip departure date.
Sports Travel, Inc. should be notified in writing of any changes in numbers, rooming lists, airlines lists, etc... Sports Trave, Inc. will make reasonable efforts to take care of last minute changes, but cannot be held responsible when the Supplier does not implement those changes. Try to avoid last minute changes if at all possible. Please take note that some airlines and lodges charge a service fee for any changes. Anything inside of 30 days prior to your trip departure would be considered a last minute change.
You may be required to make a damage/security deposit to their lodging facility prior to the trip. In addition, you are responsible for the behavior of the trip participants. Trip participants must adhere to lodge guidelines as set forth by individual lodges. These guidelines may require trip participants to; be courteous and respectful at all times to hotel guests and employees, avoid physical damage to rooms and common areas, not take items from their room, observe the hotel curfew, and avoid excessive noise and messiness.
Sports Travel, Inc. has no special knowledge regarding the financial condition of the Suppliers, unsafe conditions, health hazards, weather hazards, or climate extremes at locations to which you may travel. For information concerning possible dangers at destinations, Sports Travel, Inc. recommends contacting the Travel Warnings Section of the U.S. State Department at (202) 647-5225 or www.travel.state.gov. For medical information, Sports Travel, Inc. recommends contacting the Centers for Disease Control at (877) FYI-TRIP or www.cdc.gov/travel. You assume full and complete responsibility for checking and verifying any and all passport, visa, vaccination, or other entry requirements of your destination(s), and all conditions regarding health, safety, security, political stability, and labor or civil unrest at such destination(s). You hereby release Sports Travel, Inc. from all claims arising out of any matter as described in this paragraph. You agree that the courts in Dallas County, Texas will be the exclusive jurisdiction for all claims brought by you or Sports Travel, Inc., relating to this Agreement and the transactions contemplated hereby, and you hereby submit to the personal jurisdiction of those courts, and agree that the laws of the State of Texas shall apply without regard to conflicts of laws.
MISCELLANEOUS

Any invalidity or unenforceability of any provision or application of this Agreement shall not affect other lawful provisions and applications hereof, and to this end, the provisions of this Agreement are declared to be severable.
This Agreement may be executed in any number of counterparts with the same effect as if all parties hereto had signed the same document. All such counterparts shall be construed together and shall constitute one instrument, but in making proof hereof it shall only be necessary to produce one such counterpart. A PDF or facsimile copy of this Agreement shall be enforceable and considered an original.
The terms and conditions hereof may not be modified, altered or otherwise amended except by an instrument in writing executed by the parties hereto.
In any action or proceeding brought to enforce any provision of this Agreement or where any provision of this Agreement is validly asserted as a defense, the prevailing party, as determined by a court of competent jurisdiction, shall be entitled to recover reasonable and documented attorneys’ fees.
This Agreement sets forth the entire agreement between the parties with respect to the matters addressed herein and supersedes all prior communications, written or oral, with respect hereto. The parties have executed this Agreement effective as of the date of issue specified at the first page of this Agreement.
SPORTS TRAVEL, INC. – DISCLAIMER AND RELEASE
Sports Travel, Inc. assumes no responsibility for and shall not be liable for any refund, personal injury, property damage, or other loss, accident, delay, inconvenience, or irregularity which may be caused by: (1) any defaults, wrongful or negligent acts, or omissions of the Suppliers; (2) any defect in or failure of any vehicle, craft, equipment, or instrumentality owned, operated, or otherwise used or provided by the Suppliers; (3) any wrongful or negligent acts or omissions on the part of any other party not under the control of Sports Travel, Inc.; and (4) any Supplier price drop after your travel arrangements have been
confirmed, paid in full, or ticketed. You hereby release Sports Travel, Inc. from all claims arising out of any matter as described in this paragraph.
TRIP CANCELLATION INSURANCE
Trip Cancellation insurance is strongly encouraged. Refunds are not extended due to, among other reasons, cancellations which are the result of inclement weather conditions, airport closures or road closures. Travel Insurance is available through Sports Travel, Inc.'s affiliation with third-party providers. However, no representation or description of the insurance made by our staff constitutes a binding assurance or promise about the terms and conditions of the insurance and you should review the terms and conditions for such insurance as provided in the insurance documents.
By checking the box, the undersigned represents that he or she has full and complete authority to bind the group/organization/company to all terms and conditions of this Reservation Agreement and Supplier policies, terms and conditions.
