Sports Travel Inc. ("Sports Travel," "we," "us," or "our") arranges group and individual travel, including team sports travel, mission trips, ski trips, school travel, group air, group hotel, group and charter bus travel, private charter aircraft, car rentals, and individual/family travel. This Privacy Policy explains what personal information we collect, why we collect it, how we use and protect it, and the rights you have regarding your information.

By providing your information to Sports Travel, you agree to the practices described in this Privacy Policy. If you have any questions, contact us using the information at the end of this policy.

 

1. Information We Collect

We collect only the personal information reasonably necessary to book, coordinate, and support your trip. This includes:

 

Travel and Identity Documents

  • Driver's license information

  • Passport information (for domestic and international travel, including group mission trips)

  • Other government-issued identification required by an airline, hotel, resort, border authority, or other travel vendor

 

Contact Information

  • Full name

  • Telephone number(s)

  • Email address

  • Mailing address

 

Trip-Related Information

  • Emergency contact details

  • Group, team, or roster information provided by a coach, team administrator, school, or trip leader

  • Dietary, medical, or accessibility needs you voluntarily provide so we can arrange appropriate accommodations

  • Credit card and payment information necessary to process deposits, final payments, and, where applicable, future or recurring charges for your trip. This information may be retained on file to support your booking

 

Minors' Information

For group school travel, sports team travel, and mission trips involving minors, we collect a minor's personal information (such as name, date of birth, passport, or driver's license information) from a parent, legal guardian, coach, team administrator, or school on the minor's behalf. We do not knowingly collect personal information directly from minors.

 

2. Information We Do Not Collect

Sports Travel does not use cookies or analytics/tracking software on our website, and we do not collect or log visitor IP addresses. We do not build browsing profiles of website visitors.

Note: some third-party services we rely on to run our business, such as our payment processor or an embedded online booking or contact form, may operate their own websites or tools with their own cookies and privacy practices. Those third parties' practices are governed by their own privacy policies, not this one, and are outside our control.

 

3. How We Use Your Information

We use your personal information solely to arrange and support your personal or group trip. Specifically, we use it to:

  • Book and confirm flights, hotels, ski trips, buses, private charter aircraft, and car rentals

  • Submit required passenger information to airlines, hotels, resorts, bus charter companies, and other vendors on your behalf

  • Meet government, customs, or border requirements for domestic and international travel

  • Process trip deposits, payments, and refunds

  • Communicate with you about itineraries, deadlines, and trip updates

  • Respond to your questions and provide customer support

We do not use your information for any purpose unrelated to executing your trip, and we do not use it for advertising or marketing profiling.

 

4. Sharing Your Information

Sports Travel does not sell, rent, or trade your personal information to third parties, ever.

We share your information only with the vendors and parties necessary to execute your trip, which may include:

  • Airlines, hotels, resorts, and ski destinations

  • Bus charter companies and private aircraft charter operators

  • Car rental companies

  • Travel insurance providers, if you purchase coverage

  • Government, customs, or border authorities, where legally required for domestic or international travel

We require that these parties use your information only for the purpose of providing the travel services involved in your trip.

 

5. Data Retention

We retain your personal information for the duration of your trip plus seven (7) years, consistent with standard financial and tax recordkeeping practices for travel bookings. After this period, or sooner upon your request (see Section 7), we securely delete or destroy your information, unless a longer retention period is required by law.

 

6. Data Security

We use reasonable administrative and technical safeguards to protect your personal information, and access to customer records is limited to Sports Travel employees who need it to arrange and support your trip. Credit card information we retain on file is stored and handled in line with payment card industry (PCI-DSS) security practices. No method of storage or transmission is 100% secure, but we take the protection of your information seriously.

If a data breach occurs that compromises your personal information, we will notify affected customers without unreasonable delay and in accordance with applicable law, and will describe the nature of the breach and the steps we are taking in response.

 

7. Your Rights and Choices

You can contact Sports Travel Inc. at any time to:

  • Request a copy of the personal information we hold about you

  • Request that we correct inaccurate information

  • Request that we delete your information from our systems

To make a request, contact us using the information in Section 10 below. We will respond within a reasonable time. Note that we may need to retain certain information where required by law (for example, financial records) or to complete a trip that is already booked.

 

Additional Rights for EU/EEA and UK Residents

Because our mission trips and group travel serve travelers around the world, some customers are residents of the European Union, European Economic Area, or United Kingdom. For these customers, our legal basis for processing your personal information is to perform the travel booking contract with you, to comply with legal and customs/border obligations for international travel, and, where applicable, your consent.

In addition to the rights in this section, EU/EEA/UK residents have the right to restrict or object to certain processing of their information, the right to request their information in a portable format, and the right to lodge a complaint with their local data protection supervisory authority. To exercise any of these rights, contact us using the information in Section 10.

 

Additional Rights for California Residents

California residents have rights under the California Consumer Privacy Act (CCPA), as amended by the California Privacy Rights Act (CPRA). The categories of personal information we collect are described in Section 1, and how we use it is described in Section 3. As stated in Section 4, Sports Travel does not sell or share your personal information with third parties for advertising or any other purpose, so there is no sale or sharing to opt out of.

California residents have the right to know what personal information we collect and how it is used, request deletion of their personal information, correct inaccurate personal information, and not receive discriminatory treatment for exercising any of these rights. To exercise any of these rights, contact us using the information in Section 10. We may need to verify your identity before completing your request.

 

8. Children's and Minors' Privacy

Sports Travel arranges group school travel and youth mission and sports trips, which involve minors. As noted in Section 1, we collect a minor's information from a parent, legal guardian, coach, team administrator, or school, not directly from the minor. A parent or legal guardian may contact us at any time to access, correct, or request deletion of their child's information under the same process described in Section 7.

 

9. Third-Party Links

Our website may contain links to third-party sites, such as airlines, hotels, or destinations. Sports Travel is not responsible for the privacy practices or content of those third-party sites. We encourage you to review the privacy policy of any third-party site you visit.
